FieldGility ("we," "our," or "us") operates the FieldGility field service management platform available at app.fieldgility.com and fieldgility.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

2. Information We Collect

We may collect information about you in a variety of ways:

  • Personal Data: Name, email address, phone number, company name, and billing information you provide when creating an account or subscribing to our services.
  • Business Data: Customer records, job schedules, property addresses, invoices, estimates, employee records, and other business data you enter into the platform.
  • Usage Data: Browser type, IP address, pages visited, time spent on pages, and other diagnostic data collected automatically.
  • Location Data: GPS coordinates collected from crew members' devices when they use the mobile app for time tracking and route optimization (only when the user has granted location permission).
  • Third-Party Data: Information from services you connect, such as Google (for authentication), Stripe (for payments), and other integrations.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain our platform
  • Process transactions and send related billing information
  • Send you service-related communications (job updates, invoice notifications, etc.)
  • Provide GPS tracking and route optimization for field crews
  • Generate estimates, invoices, and business reports
  • Improve and personalize your experience
  • Respond to customer service requests
  • Detect and prevent fraud or abuse

4. Google User Data

When you sign in with Google or connect your Gmail account, we access your Google account data solely to:

  • Authentication: Verify your identity and create/log into your account
  • Email Sending: Send transactional emails (invoices, estimates, job notifications) on your behalf through your connected Gmail account

We do not read, store, or analyze your personal emails. We only use the Gmail API to send messages you explicitly trigger through the platform. Your Google data is not shared with any third parties.

5. Data Sharing and Disclosure

We do not sell your personal information. We may share data with:

  • Service Providers: Stripe (payments), Railway (hosting), Google (authentication and email), and other infrastructure providers necessary to operate the platform.
  • Your Customers: When you use the Client Portal feature, your customers can see their own scheduled services, invoices, and estimates — only data related to their account.
  • Legal Requirements: If required by law, subpoena, or to protect our rights.

6. Data Security

We implement industry-standard security measures including:

  • HTTPS encryption for all data in transit
  • Encrypted database storage
  • Multi-tenant data isolation (each organization's data is completely separated)
  • Role-based access controls
  • Regular security audits

7. Data Retention

We retain your data for as long as your account is active. If you cancel your account, your data is preserved in a paused state for 90 days, after which it may be permanently deleted. You may request immediate deletion at any time by contacting us.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Withdraw consent for data processing

9. Cookies

We use essential cookies and local storage to maintain your session and preferences. We do not use third-party advertising cookies or tracking pixels.

FieldGility is not intended for use by children under 13. We do not knowingly collect data from children.
